Reservation system for booking rooms, desks and parking spots in offices

Due to the fact that client offices are becoming more crowded, we created an automated system that would simplify the whole process and relieve the Office Team's duties.

1. My role

Discovery research and UX design in a team of 3 designers, ~5-10 developers and a PM.

2. Problems

  • Time-consuming process of accepting and confirming reservations by the office team (manually via email and Google forms),
  • Unclear booking process for employees, especially new ones,
  • Employees not complying with current rules (too much flexibility in current solutions).

3. 🔎 Approach

I facilitated workshops with design team to prepare research plan. Then, in a series of interviews with employees and office team members I recreated their journey through the process of reservation. My goal was to measure their experience and find pain points. I also re-used results from an old survey conducted by the company, thanks to which I gained additional insights "for free".

4. Output

  • Table with users' experience and problems,
  • MVP and user stories
  • User flows for the purpose of design.

5. Research and app impact

  • 📉 Fewer direct inquiries from employees to the office team,
  • ⚙️ Thanks to automation, the office team spends less time on managing reservations,
  • 🤸🏻 Easier onboarding of new employees, because it is enough to send them a link to the booking application instead of describing the entire process.
